Assigning leave approvers

Designate which users at a company can approve or reject leave requests.

The Leave Approver permission lets a user approve or reject leave requests inside their company. It's set at the platform level (Super Admin) rather than inside the company's own Settings — so it can't be self-assigned.

When to grant it

Grant Leave Approver to:

  • Department heads in larger companies — so each team's leave is approved by the right person
  • Senior HR users when the Manager wants to delegate
  • Office managers in flat organisations where the CEO doesn't want to be every-leave-approver

You can have multiple Leave Approvers at one company — the first one to act on a request wins.

Grant the permission

  1. Open the company in your Super Admin panel.

  2. Click the Users tab.

  3. Find the user you want to make an approver.

  4. Toggle Leave Approver on. Saves immediately. The user gets a notification email and an in-app banner explaining their new responsibility.

Revoke it

Same place — toggle off. Effective immediately:

  • The user no longer sees the Pending leave queue
  • Pending requests they hadn't acted on are reassigned to other approvers (or to the Manager if no others exist)

What approvers see

When you grant the permission, the approver suddenly sees:

  • Time → Leave → Requests tab populated with pending items
  • A red badge on the notification bell when new requests come in
  • Email alerts (configurable in their personal notification preferences)

Common questions

Can an employee be a Leave Approver without being HR? Yes — the role and permission are separate. A regular employee can be assigned as a Leave Approver for their team. They get approval power without seeing payroll or other HR data.

Who approves the Leave Approver's own leave? A different Leave Approver, or the Manager. TracefyHR prevents anyone from approving their own request.

What if no Leave Approvers are assigned at a company? The Manager handles all approvals by default — no extra setup needed for small companies.

An approver missed a request — does it auto-escalate? Not yet. Approvers have an unlimited window to act. Add escalation rules via Forge AI if you need them.
