The org chart

Visualise reporting lines, drag to reorganise, and keep teams in sync.

The org chart is your living map of who reports to whom. It's auto-built from the Reporting manager field on each employee profile — change a reporting manager, the chart updates instantly.

Where to find it

People → Org Chart in the sidebar. The chart loads with your CEO / top-most person at the top and teams branching downward.

What you can do

  • Click a node to open that person's profile in a side panel
  • Hover to see their job title and direct reports count
  • Search by name to jump straight to anyone
  • Print or export as a PDF (top-right menu)

Reorganise the chart

Two ways to update the structure:

1. Drag and drop (fastest)

Click and drag any employee node onto a new manager. Drop it on the new manager's card to set them as the new reporting line. TracefyHR confirms the change and updates everyone affected.

2. Edit on the profile (most explicit)

Open an employee's profile → Reporting Manager dropdown → pick the new manager → save.

Both methods do the same thing — pick whichever feels more natural.

Changing a reporting manager triggers a notification to the new manager (so they know they have a new direct report) and to the employee. The old manager isn't notified — they just lose visibility.

Departments vs. reporting lines

Two related but separate concepts:

  • Department — a tag on an employee (Engineering, Sales, etc.). One department per employee. Used for grouping in payroll, expenses, and analytics.
  • Reporting manager — who they report to. Drives the org chart and approval workflows.

You can have someone in Engineering who reports to a Sales manager — TracefyHR doesn't force department-aligned reporting.

Common questions

Why does an employee not appear? Either they're archived (left the company), or they have no Reporting manager set. Open their profile and pick one — they'll appear in the chart immediately.

Can two people share the same direct reports? No — each employee has exactly one reporting manager. For matrix structures (e.g. a project lead in addition to a line manager), use Forge AI to build a "Project Assignments" custom feature alongside.

My CEO has no manager — how do I show that? Leave their Reporting manager field blank. They'll automatically appear at the top of the chart.

Can employees see the org chart? By default, yes — it's helpful for new hires. To restrict, ask your Manager to disable it in Settings → Visibility.
