Set up your company

Two-step setup that takes a few minutes — once it's done, you and your team can start using everything.

When your Super Admin invites your company to TracefyHR, you'll get an email with a registration link that's good for 48 hours. Clicking it opens a quick two-step form. Set aside about five minutes — by the end you'll have a working dashboard.

Only one person completes this — the first admin for the company. Once you're set up, you can add HR, Managers, and Employees from inside the app.

Step-by-step

  1. Open the invite email and click the registration link. It looks like https://app.tracefyhr.com/register?token=…. The link expires after 48 hours, so if you let it sit too long, ask your Super Admin to resend.

  2. Step 1 — Tell us about your company. Fill in:

    • Company name
    • Industry — start typing and pick from the searchable dropdown (30+ industries)
    • Size — small, medium, or large
    • Address, phone (with country code), and contact email
    • Optional: upload your company logo. You can upload separate light-mode and dark-mode versions, which TracefyHR uses on emails, payslips, and the in-app header.

  4. Step 2 — Create your admin account. Enter your name, your work email, and a strong password. This becomes the first Manager account for your company.

  5. Click Finish setup. TracefyHR creates your workspace and logs you in straight to the dashboard.

  6. Take the guided tour. A 6-step walkthrough highlights where to find people, payroll, leave, and Forge AI. You can skip it and replay any time from the Tour button next to the page title.

What to do next

Once you're in, the first three things to do — in this order:

  1. Open Settings → Currency & Tax and pick your base currency and tax label (e.g. "VAT", "Income Tax"). This affects every payslip and report.
  2. Add your first employee — see Adding employees. They'll get an onboarding email automatically.
  3. Set up your leave types — sick leave, annual leave, anything else you offer. See Managing leave requests.

Common questions

Can I change my company name later? Yes — Settings → Company Profile.

What if I uploaded the wrong logo? Re-upload from Settings → Company Profile. The new logo applies everywhere within seconds.

Can I have more than one Manager? Yes. After setup, invite as many Managers as you need. They all get the same level of access.
